Designed Templates

Alongside Word templates, Missing Toolkit: Templates can design document templates for you. A designed template is built and edited inside Missing Toolkit: Templates — there is no file to maintain — and it always generates a PDF.

Templates made for you

When you connect QuickBooks for the first time, Missing Toolkit: Templates designs a starter set for you in the background: an invoice, an estimate, a statement, and a purchase order, built from your company details. If your company profile lists a website, your brand color is picked up from it too.

The starter templates appear on the Templates page with a Made for you badge, and your most recent invoice is generated with the new design so you can see a finished document right away. Use them as they are, change them, or delete them — they are yours.

Design your own

You can design a new template, or change any designed template, by describing what you want in plain words.

  1. Go to Templates in the sidebar
  2. Click Design your own
  3. Choose the document type and a starting point — a basic layout, one of our designs, or one of your templates
  4. Describe what you want: "make the header navy", "move the totals to the right", "add the customer's email under their name"

The preview updates after every change, populated with sample data or with a real record from your QuickBooks account — use the dropdown above the preview to pick one. Describing several changes in one message is faster than sending them one at a time.

When it looks right, click Save as template. If you started from one of your existing templates, you can replace it or save the result as a new template. Replacing keeps everything pointing at it — schedules, the browser extension — on the new design, and the previous design stays one click away under Revert design on the Templates page.

Your brand on every document

Designed templates take your logo, brand color, and page size from Team > Settings > Branding. Change them there and every future document picks them up — you do not need to edit each template.

  • Logo — PNG or JPEG, up to 2 MB. If Missing Toolkit: Templates found a logo on your website, it is offered in the Branding section for you to accept or decline.
  • Accent color — used for headings, rules, and highlights in designed templates.
  • Page size — Letter or A4, applied to every designed template.

PDF only

Designed templates always generate PDF documents. There is no Word version of a designed template — if you need Word output, use a Word template instead.

Word templates still work

Nothing changes about uploading Word templates. The two kinds sit side by side on the Templates page, and everything that works with one works with the other — generating, batch runs, scheduled runs, and the browser extension.
