Credit memo template for QuickBooks Online
You can build a custom form style for an invoice. You cannot build one for a credit memo. Missing Toolkit: Templates generates the credit note from the credit memo you already recorded — on the same letterhead as the invoice it corrects.
Why your credit notes don't match your invoices
Open Custom form styles in QuickBooks Online and start a new style. You are offered five form types: invoice, estimate, sales receipt, sales order, and purchase order. Credit memo is not one of them, and there is no way to import a credit note form of your own.
So the business that spent an afternoon getting its invoices right still sends a stock QuickBooks credit alongside them. Whatever logo and color you set on the Standard style may carry across, but the layout, the columns, and the wording are not yours to change — the style editor itself only ever previews an invoice.
A credit note is a document a customer files against a payment they were expecting to make. It is worth looking like it came from you.

This is a credit memo, not an invoice. No payment is due. The credit can be applied against an open invoice or refunded on request.
The template also carries the credit still available to apply, so a customer can see at a glance how much of it they have already used.

Common questions
- Can you customize a credit memo in QuickBooks Online?
- Not as its own form. Custom form styles lets you create a style for an invoice, estimate, sales receipt, sales order, or purchase order — credit memo is not on the list, and there is no way to import your own credit note form. Design settings on the Standard style may carry across, but the layout and wording of the credit itself are fixed.
- What is the difference between a credit memo and a credit note?
- They are the same document. US QuickBooks Online calls it a credit memo; UK and other international editions, and much of the rest of the world, call it a credit note. Missing Toolkit: Templates reads the credit memo record either way, and your template can call it whatever your customers expect.
- Does this create the credit memo in QuickBooks?
- No. You record the credit memo in QuickBooks as you normally would. Missing Toolkit: Templates has read-only access and only generates the document from it, so nothing in your books can be changed by mistake.
- Can the document show how much credit is left?
- Yes. There is a placeholder for the credit still available to apply. It reflects the balance as it stands when you generate the document, so a credit that has since been used in full shows as zero.
- Can I use my existing invoice template?
- Yes, and it is usually the fastest way to get a matching pair. Copy your invoice template, change the heading, swap the invoice number and date placeholders for the credit memo ones, and drop the due date. Everything else is the same.
- Can I put our logo and wording on it?
- Yes — it is your Word document. Layout, fonts, logo, column choice, and the closing note are all yours. That is the whole point: QuickBooks will not let you style this one.
