Estimate template for QuickBooks Online
An estimate is a sales document. QuickBooks Online prints it as an invoice with a different heading. Missing Toolkit: Templates generates the quote from the estimate you already recorded — with your terms, your scope, and a line for the customer to sign.
A quote has to do more than list prices
QuickBooks Online does offer an estimate form style, and it is the same editor as the invoice one: pick a template, set a color, toggle some columns. What comes out is a price list. What wins the job is usually not a price list.
The estimate a customer actually signs carries the scope of work in prose, what is excluded, how long the price holds, the deposit and cancellation terms, and a place to accept it. The QuickBooks estimate form has no room for any of that — there is no terms page, no free-text block beyond the customer message, and no signature line.
So the quote gets rebuilt by hand in Word, and the numbers get retyped from QuickBooks every time. Missing Toolkit: Templates keeps the Word document and fills the numbers in.

Common questions
- Can you customize an estimate in QuickBooks Online?
- Only within the form style editor — a built-in template, a color, a logo, and which columns show. There is no way to upload a design of your own, add a terms page, or put a signature block on it. Missing Toolkit: Templates fills your Word document from the estimate record instead, so the layout is entirely yours.
- What is the difference between an estimate, a quote, and a proposal?
- In QuickBooks Online they are all the same record: an Estimate. The words differ by trade and by region — a contractor quotes, an agency proposes, a supplier estimates. Your template can use whichever word your customers expect; Missing Toolkit: Templates reads the same estimate either way.
- Can the customer sign the document?
- The starter template ends with ruled acceptance lines for a signature, printed name, and date, so it can be signed on paper or in any e-signature tool you already use. Missing Toolkit: Templates generates the document; it does not collect the signature itself.
- Does this create or update the estimate in QuickBooks?
- No. You record the estimate in QuickBooks as you normally would, including converting it to an invoice later. Missing Toolkit: Templates has read-only access and only generates the document from it.
- Can I show the expiration date and status?
- Yes. The expiration date and the estimate status (Pending, Accepted, Closed, Rejected) are both placeholders, so the quote can state how long the price holds without anyone typing the date in.
- Can I reuse this template for the work order?
- Yes, and many businesses run both from the same estimate — the quote goes to the customer with pricing, and the work order goes to the crew without it. There is a separate free work order template if you want a head start on the second one.
