Missing Toolkit: Templates connects to your QuickBooks Online company to read your business data for document generation.
Invoices
Browse your invoices with customer names, dates, amounts, and line items. Generate custom-branded invoices, collection letters, or any document that needs invoice data.
Available fields include the invoice number, transaction and due dates, payment terms, subtotal, tax, total, balance due, customer information, billing and shipping addresses, and every line item.
Estimates
Access your estimates in full detail — customer information, line items, status, and amounts. Create professional proposals and scope-of-work documents.
Available fields include the estimate number, transaction and expiration dates, status, payment terms, subtotal, tax, total, customer information, billing and shipping addresses, and every line item.
Purchase Orders
Generate purchase order documents with vendor details, shipping addresses, line items, and totals. Both item-based and account-based line items are supported — an account-based line uses the account name as the product or service name.
Available fields include the purchase order number, transaction and due dates, status, total, memo, vendor information, shipping address, and every line item.
Bill Payments and Remittance Advice
Generate a remittance advice from a bill payment — the confirmation you send a vendor listing the bills a payment covers, on your own letterhead.
The US edition of QuickBooks Online has no way to send one for a payment you made yourself, whether by ACH, wire, card or plain check. Payments run through QuickBooks Bill Pay trigger an automatic notification, but it doesn't itemize the bills covered. The UK and Canadian editions have a built-in Send remittance option, so on those this is for when you want the document in your own format.
Available fields include the payment number and date, amount, payment method, check number, bank account, and vendor information. Each line is a bill the payment settles, with its number, dates, total and the amount applied.
Credit Memos
Browse your credit memos with customer names, dates, amounts, and line items. Send a credit note on your own letterhead, in the same format as the invoice it corrects.
Available fields include the credit memo number, transaction date, payment terms, subtotal, tax, total, remaining credit, customer information, billing and shipping addresses, and every line item.
Customer statements
A statement of everything a customer owes you, in your own layout. QuickBooks Online produces statements but gives you no say in how they look — you cannot change the columns, add your own fields, or put your branding on them.
Show the custom fields you keep on your invoices — a purchase order number above all — against each line, which QuickBooks will not do at all. Add the job name, the terms, the days overdue, or an aging summary. Put your remit-to details where your customers actually look for them.
Customer & Vendor Information
Customer and vendor details — names, company names, addresses, phone numbers, email addresses, and more — are all available as placeholders in your templates.
Custom Fields
Any custom fields you've added to your QuickBooks transactions are automatically available as placeholders, including dropdown fields with display values resolved automatically.
