Invoice template for QuickBooks Online
Custom form styles lets you pick a layout and a color. It does not let you bring your own. Missing Toolkit: Templates fills a Word document you designed with the invoice you already recorded in QuickBooks — your layout, your columns, your wording.
Where the invoice style editor stops
QuickBooks Online does let you style an invoice — more than it lets you style anything else. You choose one of a handful of templates, set an accent color, upload a logo, pick from a short list of fonts, and switch columns on or off. For a lot of businesses that is enough.
It stops being enough the moment your invoice has to carry something the editor has no switch for: a second address block, a payment-instructions panel, retainage or deposit lines spelled out, contract language your customer's accounts payable team requires, a table laid out to match the quote it came from, or simply your real letterhead rather than a logo in the corner.
There is no way to import a design of your own, and the file your customer receives is a PDF QuickBooks rendered. Missing Toolkit: Templates takes the other route: you build the invoice in Word, once, and every invoice after that is your document filled with QuickBooks data.

Common questions
- Can you use your own invoice template in QuickBooks Online?
- Not as a file. Custom form styles lets you choose one of its built-in templates and adjust the logo, color, font, and which columns appear — but there is no way to upload a Word or PDF design of your own. Missing Toolkit: Templates works around that by filling your Word document from the invoice record instead of asking QuickBooks to render it.
- Does this replace invoicing in QuickBooks Online?
- No. You create and track invoices in QuickBooks exactly as you do now, including payments and aging. Missing Toolkit: Templates has read-only access and only produces the document you send, so your books are never touched.
- Can the invoice show the balance still owed?
- Yes. Subtotal, tax, total, and balance due are separate placeholders. The balance reflects payments recorded against the invoice at the moment you generate it, so a part-paid invoice shows what is genuinely outstanding.
- Can I include custom fields from QuickBooks?
- Yes. Custom fields on the invoice come through as placeholders alongside the standard ones, so anything your team records on the form — a job number, a region, a rep — can appear on the document.
- Can I get a PDF instead of a Word file?
- Yes. Every document can be generated as Word or PDF. The PDF is rendered from your template, so it matches what you designed rather than a QuickBooks layout.
- What about the SKU and service date on each line?
- Both are available as line placeholders. SKU is read from the product record the line points at, so it appears on the document even though QuickBooks does not put it on the invoice line itself.
