Work orders from QuickBooks Online estimates
QuickBooks Online has no work order — the usual advice is to rename an estimate and hope the crew ignores the pricing. Missing Toolkit: Templates generates a real work order from that estimate: job site, scope, scheduled dates, and sign-off lines, in a Word template you control.
Why QuickBooks Online can't do this
There is no work order document in QuickBooks Online. The workaround everyone lands on is to rename an estimate — change the form title to "Work Order" in Custom Form Styles and print it.
It half works. You get a document called a work order that is still shaped like a quote: prices down the right-hand side, a total at the bottom, no room to record what was actually done, and nowhere for the customer to sign. Renaming a form doesn't change what's on it, and a crew in the field needs different information than a customer deciding whether to accept a bid.

Common questions
- Does QuickBooks Online have work orders?
- No. There is no work order document type in QuickBooks Online. Intuit's own guidance is to rename an estimate using Custom Form Styles, which changes the title but leaves you with an estimate — pricing, totals, and all.
- How do I create a work order in QuickBooks Online?
- Raise the job as an estimate, then generate the work order from it with Missing Toolkit: Templates. You pick the estimate, pick your work order template, and download the finished document. The estimate stays an estimate in QuickBooks.
- Can I keep prices off the work order?
- Yes — just leave the price placeholders out of the template. The free starter template above shows scope, scheduled dates, and quantities with no dollar figures, which is usually what you want the crew carrying.
- Can I add signature lines?
- Yes. They are ordinary Word content, so you can put them anywhere and word them however you like. The starter template includes lines for the technician and the customer.
- What about scheduled dates for each task?
- The service date on each estimate line is available as ${LINE_SERVICE_DATE} and appears as the Scheduled column in the starter template.
- Can I generate a work order from an invoice instead?
- Yes. Invoices are supported the same way, so if your process bills first and schedules after, build the template against invoice placeholders instead.
