QuickBooks Online
Box labels from QuickBooks Online invoices
QuickBooks Online prints a packing slip, but nothing for the side of the box. Missing Toolkit: Templates turns an invoice into a label for every box a line item ships in — "Box 3 of 24", "550 of 13,000", the SKU, and the ship-to address — on a Dymo or sheet label you design in Word. Also called carton labels or case labels, depending on who is asking.
Why QuickBooks Online can't do this
An invoice in QuickBooks Online knows the item, the quantity, and where it is going. It does not know that 13,000 envelopes go out as 23 boxes of 550 and one of 350, and it has no document that prints once per box.
So the label gets made somewhere else: counted by hand, typed into a label program one box at a time, and retyped when the count changes. Twenty-four labels is twenty-four chances to mislabel a box, and the ship-to address is copied from the invoice every one of those times.
What the finished label looks like
This is the free starter template below, filled from an invoice: a 4 by 6 inch label with the box count, what is inside, and where it is going. Every box on the order gets its own.

What's in the template
Every placeholder below is filled from the QuickBooks invoice you pick. The
BOX_
placeholders are worked out for each label from how many units fit in a box. Set the template
to One label per box when you upload it — Missing Toolkit: Templates proposes
that setting when it sees the box placeholders.
| Placeholder | Filled with |
|---|---|
| ${COMPANY_NAME} | Your company name |
| ${INVOICE_NUMBER} | The invoice document number |
| ${INVOICE_DATE} | The transaction date |
| ${BOX_NUMBER} | This box's number within its line item, 1 for the first (fills on a template set to one label per box) |

How It Works
-
1
Connect QuickBooks Online
Authorize the connection through Intuit with OAuth 2.0. Missing Toolkit: Templates reads your data and never writes to it.
-
2
Upload your label template
Start from the free template above or size your own Word document to your label stock. Choose "One label per box" as the copies setting.
-
3
Pick an invoice, say how many fit in a box, generate
Tick the line items to label and enter the units per box for each. The boxes are worked out for you and you can change any of them. Every label lands in one PDF, ready for the printer.
Common questions
- Can QuickBooks Online print box labels?
- No. QuickBooks Online prints a packing slip for the whole shipment but has no label document and no idea how many boxes an order ships in. Missing Toolkit: Templates adds both: you say how many units fit in a box, and it generates one label per box from the invoice.
- Is a box label the same as a carton label or a case label?
- For this purpose, yes. Retail vendor guides say carton label, warehouse systems say case label, and most shops say box label. All of them carry the box number, the count of boxes, what is inside, and where it is going, which is what the template prints.
- How are the boxes worked out?
- You enter how many units fit in a box for each line item. Missing Toolkit: Templates proposes full boxes plus one box for the remainder: 13,000 units at 550 a box is 23 boxes of 550 and one of 350. You can change any row, remove it, or add your own, so the last boxes can hold a different amount when you run short.
- Which label printers and sizes work?
- Any size you can set up as a page in Word. The free template is 4 by 6 inches in landscape, the Dymo LabelWriter 4XL shipping label. For sheet labels, size the page to one label and print the PDF on the sheet stock your printer expects.
- What about service lines on the invoice?
- A service does not ship in a box, so service items start unticked when you generate. Tick one if it should be labeled anyway, which print shops often want, since a printed job is frequently set up as a service item in QuickBooks.
- Can I include the PO number or a custom field?
- Yes. Any invoice field, including QuickBooks custom fields, is a placeholder you can put on the label. Open the template in Word, add the placeholder where you want it, and upload it.
