Generate a month's documents in one run
Month end is the same job a hundred times over. Missing Toolkit: Templates fills your Word template for every record you select and hands back a ZIP of documents — or one merged PDF you can send straight to the printer.
One at a time does not scale
Producing a branded document from QuickBooks data is a minute's work. Producing eighty of them is an afternoon — open the record, pick the template, generate, download, rename, repeat, and lose your place somewhere around the fortieth.
The work is identical every time, which is exactly the kind of work you should not be doing by hand. Filter to the records you want, tick them, and generate the lot.
How It Works
-
1
Filter to what you need
Narrow the list by customer, date range or open balance, then select everything that matches — not just the page you are looking at.
-
2
Pick the template and the format
Your own Word document, filled from live QuickBooks data. Choose Word or PDF, and whether you want separate files, one merged PDF, or both.
-
3
Walk away
The run keeps going whether or not you stay on the page, and emails you when it has finished. Come back to one download.
Two ways to take delivery
Which one you want depends on where the documents are going.
- A ZIP of separate files
- One document per record, named so you can tell them apart. This is what you want when each document is going to a different person — attach them, or drop them into whatever you send mail from.
- One merged PDF
- Every document in a single file, in order. Open it once, print it once, and stuff the envelopes. No opening eighty files to find the print dialog eighty times.
Every document type, including statements
Anything you can generate one at a time you can generate in a run: invoices, estimates, purchase orders, bill payments, credit memos, and customer statements.
Customer statements are the job this was built for. Filter to the customers carrying an open balance, set one statement date for the whole run, and generate a statement for each of them — with the purchase order column QuickBooks will not give you.
A run that half works is still worth having
If one record fails — a customer deleted in QuickBooks since you selected it, say — the rest of the run carries on. You see exactly which ones failed and why, and can retry just those; the documents that already succeeded are not generated again.
Every document from a run is kept in your history individually, so you can go back for a single one long after the bundled download has been cleared away.
Better still, stop starting it
A month-end run is the same job every month. Set it once to run on the last day of every month, and the documents are waiting for you — no one has to remember, and no one has to be at a desk.
A schedule stores who to generate for as a description rather than a list, so it asks QuickBooks again on the day. Everyone who owes you this month is included; whoever settled up last month is not. The statement date moves with it, so every run covers its own period.

Common questions
- Can it run on its own every month?
- Yes. Set a schedule — the last day of every month, the 1st and the 15th, the first Monday, whatever fits — and the run starts on its own and emails you when it is done. Schedules are part of the Advanced plan alongside bulk generation.
- Does a schedule generate for the same customers every time?
- No, and that is the point. A schedule stores the rule rather than the names, so it asks QuickBooks again on the day. Somebody who has paid up drops out of the next run and a new customer who owes you is included, without you editing anything.
- How many documents can I generate at once?
- Up to 100 in a single run. Beyond that, filter the list into smaller runs — by date range or by customer — and start each one. There is no limit on how many runs you do.
- Do I have to wait on the page?
- No. The run is processed in the background, so you can close the tab or carry on with something else. If it takes longer than a minute you are emailed when it finishes.
- Can I generate one merged PDF instead of separate files?
- Yes, when the output format is PDF. You can take a ZIP of separate documents, a single merged PDF, or both from the same run. A Word run is always delivered as a ZIP, since there is nothing to merge Word files into.
- What happens if one document fails?
- The run continues and finishes with the rest. The run page shows which records failed and the reason for each, and a single click retries just those — what already succeeded is left alone.
- How long can I download the results?
- The bundled ZIP or merged PDF is available for 7 days. The documents themselves are kept in your generation history and can be downloaded individually after that.
- Does bulk generation change anything in QuickBooks?
- Missing Toolkit: Templates has read-only access to QuickBooks. It reads the records you select and produces documents; nothing in your books is created, altered or marked as sent.
- Which plan includes it?
- Generating in bulk is part of the Advanced plan. Generating one document at a time is included on every plan, so you can try the templates and the output before you need a run.
