Sri Lanka
A company whose QuickBooks country is Sri Lanka gets a tax invoice and the VAT Schedule 01 and Schedule 04 files as starter templates when it first connects.
The three starter templates are:
- Sri Lanka Tax Invoice: a Word template laid out for the tax invoice format that applies from October 1, 2026.
- VAT Schedule 01 (sales): a CSV file with the column headers of IRD's Schedule 01 workbook, one row for every invoice and sales receipt in the period.
- VAT Schedule 04 (credit notes): a CSV file with the column headers of IRD's Schedule 04 workbook, one row for every credit memo in the period, with amounts shown as positive.
These templates follow IRD's published format. Confirm your invoices and filings with your accountant before you use them. Missing Toolkit: Templates makes the files; you upload them to IRD yourself.
Starter templates for a Sri Lankan company are A4.
Set up once
Your company TIN
QuickBooks doesn't share your company's tax number with apps. Enter it under Team > Settings > Tax ID. It prints on your tax invoices and starts the name of every VAT schedule file.
Your VAT registration number is typed into the tax invoice template once, in Word.
Your customers' TINs
QuickBooks only shares part of its own tax registration field, so keep each customer's TIN in a customer custom field:
- In QuickBooks, go to Settings > Custom fields and click Add field
- Name it TIN and turn it on for Customers
- Enter each customer's TIN on their customer record
The starters read it as ${CUSTOM_TIN} on the tax invoice and ${LINE_CUSTOMER_CUSTOM_TIN} on the schedules. If you named the field differently, rename the placeholder in the template to match.
Original invoices on credit memos
Schedule 04 asks for the number and date of the invoice each credit note corrects, and QuickBooks has no field for either. Add two text fields under Settings > Custom fields, both turned on for Credit memos:
- Original invoice
- Original invoice date, entered as MM/DD/YYYY
Fill them in on each credit memo. If you name them differently, rename ${LINE_CUSTOM_ORIGINAL_INVOICE} and ${LINE_CUSTOM_ORIGINAL_INVOICE_DATE} in the Schedule 04 template.
Making a VAT schedule
- Open your QuickBooks company under Connections and click Sales Registers
- Choose the period and the VAT Schedule 01 or VAT Schedule 04 template. Each one picks the kinds of document it needs.
- Check the summary for warnings, like a customer with no TIN or a missing tax ID
- Click Generate
See Sales Register for the checks and options.
On the Advanced plan, a schedule can make them for you every month or every quarter. See Scheduled Runs.
File names
Files are named the way IRD's workbook asks:
[TIN]_VAT_SCHEDULE01_[PERIOD CODE]_[DATE]_ORIGINAL_V1.csv
The period code is the tax year, quarter and month, with the tax year running April to March and named by the year it starts in. July to September 2026 is 2623.
Before you upload
- Upload the file as you downloaded it. Excel hides trailing zeros on screen, and saving the file again in Excel writes what it shows.
- Every row needs a TIN. What to enter for a buyer who isn't VAT registered is a question for your accountant.
